Privacy Policy
How kotrix.IT handles your personal information, in plain English. Last updated 27 July 2026.
Who we are
kotrix.IT("we", "us") is a Sydney-based IT services business operating as a sole trader (ABN pending). This policy explains how we collect, use, store and disclose personal information, consistent with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We follow the APPs as a matter of good practice even where the Act's small-business exemption may apply.
What we collect
We only collect what we need to respond to you and deliver services:
- Contact form — name, email, and optionally company, phone, service interest, budget range and your message.
- Bookings — details you provide to Calendly when scheduling a consultation.
- Analytics — aggregated usage data (pages visited, device type) via Google Analytics 4. No advertising identifiers, no cross-site tracking by us.
- Service delivery — information you share with us while we work together (e.g. system access, business data), handled under the engagement terms and any NDA.
How we use it
- Responding to enquiries and providing quotes
- Delivering and supporting the services you engage us for
- Improving the website (aggregate analytics only)
- Meeting legal obligations (e.g. tax records)
We do not sell personal information, and we do not send marketing email without your consent.
How we store it
Contact form submissions are delivered to us by email and are not stored in a database on this website. Business records live in access-controlled, MFA-protected cloud services. Where we hold client data for service delivery, we store it encrypted and prefer Australian-region hosting.
Third parties we rely on
Limited data is processed by service providers we use to run the site and business: Vercel (hosting), Resend (email delivery), Cloudflare Turnstile (spam prevention), Calendly (scheduling) and Google Analytics (usage statistics). Each processes data under its own privacy policy, and some may store data outside Australia (typically the United States).
Cookies
We use only the cookies needed for analytics and spam protection. We don't run advertising or tracking pixels. Your browser's settings can block or clear cookies at any time; the site keeps working.
Access, correction and complaints
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it — email us and we'll respond within 30 days. If you believe we've mishandled your information and our response doesn't resolve it, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Data breaches
If a data breach is likely to result in serious harm, we will notify affected individuals and the OAIC in line with the Notifiable Data Breaches scheme.
